Role Impact

This role supports management staff with various administrative tasks including invoice processing, file system management, typing correspondence, preparing and distributing documentation and reports, answering telephones, scheduling appointments and meetings, making travel arrangements, and prioritizing workload to ensure management is equipped with the necessary materials.

What You Will Deliver

  • Process departmental invoices, verify coding and route for approval.
  • Prepare written documentation such as correspondence, reports, and agreements using dictated or written notes.
  • Coordinate meetings by scheduling, booking rooms, and arranging materials and equipment.
  • Manage departmental mail and courier services ensuring timely distribution.
  • Organize and maintain departmental filing systems for easy access.
  • Monitor and replenish office supplies.
  • Provide professional and courteous service to internal and external clients including receptionist duties.
  • Recommend improvements to current procedures to boost operational effectiveness.
  • Perform any other duties as assigned.

What Your Strengths Are

Team player with strong interpersonal skills, excellent verbal and written communication, detail oriented, quick learner, multitasker, strong time management, analytical, customer-service focused, and capable of interacting at all organizational levels.

What You Need to Succeed

  • Grade 12 or equivalent; certificate/diploma in Office Administration is an asset.
  • Minimum 3 to 5 years of related work experience.
  • Real Estate/Property management experience is an asset.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Solid organizational, prioritizing, research, and analytical skills.
