Executive Team Assistant at Buildcorp

Buildcorp is an Australian family-owned construction company with over 35 years of experience delivering landmark projects. Recognised for our commitment to excellence, integrity and long-term partnerships, we are entering an exciting phase of growth and are seeking a highly capable Executive Team Assistant to support our Executive Office.

This is a trusted role at the centre of the business. Reporting to the Head of Corporate Affairs, the Executive Team Assistant provides high‑level operational and administrative support to the Executive Office and C‑suite, enabling leaders to stay focused on strategic priorities.

You will be a proactive, discreet and detail‑driven partner, who anticipates needs before they’re asked and creates the conditions for leaders to operate at their best.

Key Responsibilities

  • Provide end‑to‑end executive diary management, including meeting coordination, room bookings, catering, pack preparation and technology setup
  • Manage executive travel arrangements, including end‑to‑end domestic and international travel for the Executive Office, C‑suite and Head of Corporate Affairs
  • Support travel bookings for Group Services employees and contribute to improving travel policies and processes
  • Monitor and manage executive inboxes and email correspondence with professionalism and confidentiality
  • Establish and maintain efficient processes, rhythms and meeting cadences for the Executive Office
  • Support event coordination and delivery as required
  • Manage credit card reconciliation, invoicing and general administrative tasks for the Executive Office
  • Continuously identify opportunities to improve executive office operations and ways of working

About You

You are an experienced Executive Assistant or Team Assistant who brings:

  • Proven experience supporting senior executives or C‑suite leaders in a complex organisation
  • Exceptional organisation, time management and attention to detail
  • Strong judgment, discretion and the ability to handle sensitive information
  • Confidence engaging with senior stakeholders internally and externally
  • A proactive mindset, with the ability to anticipate needs and solve problems
  • High standards of communication and professionalism
  • Confidence managing competing priorities in a fast‑moving environment
