About the role
Job Overview
Our client is looking for a detail-oriented Payroll Specialist / Accounting Assistant to manage payroll operations and financial reconciliations. This role is critical in ensuring that warehouse staff are paid accurately based on biometric data and that shipping invoices are audited for any discrepancies. You will work closely with the accounting department manager to maintain high data integrity and support accounts payable/receivable functions.Schedule
Monday - Friday, 9:00 AM - 1:00 PM PST (20 work hours per week)
Responsibilities
- Process warehouse payroll twice a month using face recognition software data.
- Cross-reference software excel sheets with manual timesheets to ensure accuracy.
- Reconcile freight forwarder and shipping company invoices and dispute unauthorized fees.
- Flag missing or late lunch breaks for warehouse staff per California labor rules.
- Manage accounts payable and accounts receivable tasks as needed.
- Maintain accurate records and logs for all financial transactions.
- Follow strict standard operating procedures (SOPs) provided by the client.
- Support the accounts payable manager during peak periods.
Requirements
- 3 to 5 years of experience in payroll or accounting roles.
- Strong attention to detail for spotting invoice and timesheet discrepancies.
- Familiarity with US payroll systems and labor laws (especially California).
- Ability to use logic and independent judgment when auditing records.
- Proficiency in Excel and accounting software.
- Experience working with manual records and automated time-tracking systems.
- Communication skills for coordinating with internal teams and vendors.
