Overview
This part-time Finance Manager role at Braintrust involves overseeing the finances for a small 25-year consultancy and a new startup incubation initiative. The focus is on maximizing available resources, maintaining distinct financial books, and leveraging AI and other technology for optimal efficiency.
Key Responsibilities
- Lead internal finance operations including bookkeeping, payroll, expense approvals, and fund transfers.
- Oversee external bookkeepers and handle tasks beyond their scope.
- Maintain weekly budget updates and real-time cash runway visibility for the executive team.
- Review and validate expenses, including contractor time tracking and outputs.
- Ensure timely payments and manage transfers from investment to cash accounts.
- Develop processes to reduce unnecessary finance expenses such as bank fees and credit card interest.
- Research, formalize, and utilize tactical financing resources, including lines of credit.
- Maintain strict separation between ImpactSoul and RampRate finances with audit-readiness in mind.
- Utilize AI tools to distinguish corporate from personal expenses using corporate credit cards.
- Manage Quickbooks, outsourced payroll/benefits, tax authorities, and state representatives.
- Streamline financial processes to minimize exceptions and CEO involvement.
- Handle non-standard transactions including SAFE investments and cryptocurrency payments.
- Recommend and oversee additional finance resources (e.g., tax accountant or fractional CFO) for compliance and due diligence.
Success Metrics
Your performance will be evaluated on:
- Maintaining cash flow visibility for timely financial decisions.
- Ensuring payroll and contractor payments are processed on time.
- Prompt and accurate invoice and expense payments.
- Eliminating finance-related gaps and ensuring compliance for audits and due diligence.
Candidate Qualifications
Ideal candidates will have experience with small organizations, managing multiple financial and operational tasks including tax, payroll, and regulatory compliance. Familiarity with professional services, crypto payments, startup financing, and due diligence is essential. The role requires independent judgment, flexibility to adopt new tasks, and solid references.
