The Role: Office Administration Lead
We’re looking for an Office Administration Lead to join our team in Warsaw. You’ll play a key role in managing our physical workplace strategy and take full ownership of office infrastructure across all our Warsaw locations. If you’re a proactive leader who thrives in a fast-paced environment and enjoys building efficient, high-performing workspaces — this role is for you.
Key Responsibilities
- Take full accountability for the office infrastructure across multiple sites in Warsaw, ensuring they are safe, functional, and representative of our culture.
- Act as the main point of contact for different teams regarding all office-related needs, requests, and infrastructure support.
- Lead and execute daily operations through a dedicated local team, ensuring high standards of office management.
- Analyze and manage office space utilization to ensure we are operating efficiently and planning for future growth.
- Partner closely with internal Budget and Construction teams to manage costs and execute office improvements or new fit-outs.
- Serve as the primary point of contact for landlords and space providers, managing all communication and rental agreements.
- Proactively introduce new initiatives and ideas to increase operational efficiency and enhance the employee experience.
- Ensure all offices are fully equipped with everything employees need to be productive on a day-to-day basis.
Requirements
- Extensive experience in Office or Facilities Management, with a track record of leading teams and managing multi-site operations.
- Strong interpersonal skills with the ability to act as a bridge between various departments and internal stakeholders.
- Strong knowledge of office infrastructure, maintenance, and the logistics of managing multiple physical locations.
- Ability to work closely with budget teams and manage office-related P&L and operational expenses.
- Ability to work independently, take full ownership of the Warsaw footprint, and drive new office initiatives.
- Excellent command of both Polish and English (written and spoken).
- Experience working in a dynamic, international environment is highly preferred.
