Temporary Special Events Specialist
Join Boys & Girls Clubs of America as a Temporary Special Events Specialist! This role is a critical member of the Event Fundraising team, providing high-impact operational, financial, and data support for some of BGCA’s most visible and meaningful fundraising efforts. You will play an essential behind-the-scenes function, ensuring accuracy, organization, and follow-through across multiple events and initiatives, including Regional Youth of the Year Dinners, Golf events, and the Ross Gala.
This position is ideal for someone who thrives in a fast-paced, deadline-driven environment, brings strong attention to detail, and enjoys juggling multiple priorities while keeping systems, data, and people aligned. You will work closely with event fundraisers, finance partners, marketing colleagues, and donors, serving as a connector across teams while ensuring that fundraising data, reporting, and event execution are handled with precision and care.
This is a temporary, six-month position designed to provide critical support during a high-volume fundraising period, with the possibility of extension based on organizational needs and performance.

Responsibilities
Finance & Fundraising Operations Support
- Serve as a key operational partner to the Event Fundraising team, supporting accurate financial tracking and timely processing across events.
- Act as a liaison with Regional Development Operations and Finance.
- Create and generate custom pledge reminders.
- Manage event gift collections and process gift transmittals and accounts receivable.
- Reconcile donations, track and allocate credit card fees, and assist with payment collection.
- Create invoice templates on behalf of event directors.
- Monitor reports, pipelines, and overall department financials to ensure accuracy and completeness.
Data & Systems Management (Salesforce NPSP)
- Ensure the integrity of BGCA’s donor and event data by developing and maintaining accurate, timely records in Salesforce NPSP.
- Oversee event gift processing and acknowledgements.
- Manage event attendance tracking and review pipelines.
- Ensure opportunities, contact records, and financial data are entered correctly and consistently.
- Proficiency in Salesforce NPSP is essential for data quality and reporting that supports fundraising success.
Special Projects, Marketing & Event Support
- Collaborate with Event Fundraising and Marketing teams to maintain event websites and manage event-related communications.
- Prepare and distribute meeting minutes within 72 hours of meetings or calls.
- Support sponsorship activation efforts and assist with executing sponsor benefits (e.g., logos, ads, on-site activation).
- Attend select events to support day-of registration and logistics.

You are highly detail-oriented, organized, and proactive, with the ability to manage multiple projects and shifting deadlines without losing sight of the details. You communicate clearly and professionally, both in writing and verbally, and take pride in producing accurate, polished work. You’re comfortable exercising sound judgment, handling confidential information with discretion, and working independently while remaining a strong, collaborative team member.
You bring strong planning and time-management skills, are adaptable to changing priorities, and can confidently make thoughtful decisions about workload and sequencing. You are a self-starter who follows through, supports teammates across time zones, and maintains high ethical standards in everything you do.
