What You'll Do as a Project Operations Specialist

As a Project Operations Specialist, you will support the delivery of project-based work by coordinating day-to-day operations and partnering closely with senior project managers, subject matter specialists, requesters, and internal stakeholders. You will help manage incoming requests, support project planning and execution, and ensure work progresses on time and within agreed parameters.

You will assist with coordinating internal and external resources, tracking timelines and iterations, and supporting production-related activities and vendor engagement where required. You will set up and maintain project tools and workflows, manage documentation, and ensure clear visibility across stakeholders.

You will help coordinate scoping discussions, internal check-ins, and stakeholder sessions. You will monitor deadlines, flag risks and dependencies, and support expectation management across teams. You will operate with increasing independence within established processes while escalating issues and decisions as appropriate.

  • Apply sound judgment to defined problems, assess risks and trade-offs, and know when to seek guidance on more complex issues.
  • Manage stakeholder expectations effectively and maintain clear communication in fast-paced environments.
  • Handle escalations with composure, aligning stakeholders, clarifying issues, and supporting timely resolution.
  • Demonstrate practical knowledge of multidisciplinary delivery workflows, helping shape briefs, clarify scope, and support execution in dynamic contexts.
  • Coordinate multiple tasks and priorities while maintaining attention to detail and consistent follow-through.
  • Communicate clearly in meetings, presentations, and written materials.
  • Collaborate effectively with project managers, specialists, and cross-functional partners across regions.
  • Contribute ideas to improve project processes and workflows.
  • Are comfortable using project management and collaboration tools and adapt quickly to new systems.

What You'll Bring

  • Two to four years of relevant professional experience in a project coordination or project management role, within a professional services, digital, media, innovation, or similar client-driven environment.
  • Bachelor’s degree or equivalent experience, preferably in project management, business, marketing, or a related field.
  • Experience supporting projects that involve multiple stakeholders, timelines, and deliverables.
  • Experience in customer or stakeholder support within a fast-paced environment.
  • Working knowledge of project management tools and methodologies.
  • Strong organizational skills and consistent attention to detail.
  • Ability to work effectively with senior and global stakeholders.
  • Fluency in English required, with additional languages beneficial depending on location.

Who You'll Work With

You will interact regularly with senior stakeholders and cross-functional partners across regions. Depending on role and project scope, you will also work with external vendors and freelancers to support project delivery.
