Job Description
Client Service Assistant at BMO
As a Client Service Assistant at BMO, you will play a crucial role in supporting Investment Advisors (IAs) and their teams, as well as branch operations. This position focuses on delivering exceptional client service, fostering strong client relationships, and contributing to the achievement of business objectives.
You will be responsible for a diverse range of administrative and client-facing tasks, ensuring a seamless experience for clients and efficient support for the advisory team.
Key Responsibilities
- Coordinate marketing activities for the advisory team, including managing website content, social media initiatives, client recognition for life events, and planning client events.
- Assist the advisory team in preparing for client meetings, which includes scheduling appointments.
- Manage general day-to-day client requests and inquiries, such as basic money movement (wires, transfers), resolving technology issues, and assisting with account opening and updates, ensuring timely and confidential follow-up.
- Generate reports and documents for both Investment Advisors and clients as requested, and meticulously process items for client accounts and files.
- Maintain and organize client databases and client files to ensure accuracy and accessibility.
- Ensure that transactions and tasks are appropriately assigned to team members and completed efficiently.
- Provide support to team members on technology issues, the adoption of new technologies, and general inquiries or escalations related to policies, procedures, and processing.
- Gather and disseminate information regarding updates to training, guidelines, technology, and other business-related information.
- Develop rapport and build confidence with clients to establish credibility and promote a positive client experience, ultimately fostering long-term client relationships.
- Assist in managing a portfolio of clients to support retention and growth of relationships.
- Support Investment Advisors in addressing individual client investment needs, contributing to the provision of professional, customized investment-related advice, sales, and services.
- Work collaboratively within the market, with BMO partners, and in the community to build relationships and deliver an outstanding customer experience.
- Adhere to risk and compliance processes and policies to safeguard customer assets, maintain privacy, act in their best interests, and ensure effective branch operations.
- Protect the Bank's and clients’ assets and comply with all regulatory, legal, and ethical requirements.
- Maintain strict confidentiality of client and Bank information.
- Complete complex and diverse tasks within established rules and limits.
- Analyze issues, determine appropriate next steps, and escalate matters as required.
Qualifications
- Typically 1 – 2 years of relevant experience.
- A post-secondary degree in a related field of study is desirable, or an equivalent combination of education and experience.
- Knowledge of wealth management company and branch operations (e.g., client services, trust services, account transfers) is a valuable asset.
- Familiarity with the operational aspects of traditional (stocks, bonds, money market, mutual funds) and non-traditional (managed and fee-based) products is an asset.
- Proficiency with technology applications and software commonly used in the financial planning and investment industry.
- Must meet the licensing and certification requirements for the branch/jurisdiction.
