Black & McDonald’s Southern Ontario team is expanding. If you are a committed and collaborative professional eager to contribute to a hard-working, innovative team, this opportunity as an Administrative Assistant - Subcontracts is for you.
This role is based in Scarborough and typically reports directly to the Subcontract Manager. Your primary focus will be assisting in subcontract management under the direction of the Subcontracts Team. This is a full-time position, and Black & McDonald is dedicated to training motivated individuals.
Key Responsibilities
- Issue subcontract purchase orders in the ERP system, including preparing and editing subcontract agreements while ensuring all proper supporting documentation is submitted.
- Adjust subcontract purchase orders as required by Operations, including processing Change Orders.
- Manage the Subcontractor Prequalification Process (SCPQ) Portal from end-to-end, serving both Internal Operations and Subcontractors.
- Liaise with the IT Department regarding the SCPQ and provide support for HSE and Finance inquiries.
- Scan, post, and file contracts and subcontracts as needed to the Legal CLM (Contract Lifecycle Management) platform.
- Provide administrative support to lawyers as required.

Required Skills and Abilities

- Proficiency in MS Office (Word, Excel), including basic document editing.
- Basic knowledge of JD Edwards or an Oracle-based ERP system is considered an asset.
- Being fully bilingual in French is considered an asset.
Compensation & Benefits
The expected salary range for the Administrative Assistant - Subcontracts role is between $47,500 - $57,500 per year. The starting salary will be determined by factors such as the successful candidate’s qualifications, education, and experience. Base pay is one component of Black & McDonald’s total rewards package, which may also include group insurance benefits, a pension plan, an annual discretionary bonus, and career development programs.
