The Executive Assistant role at BioSpace is a part-time position requiring discretion, judgment, and strong organizational skills. The role focuses on handling confidential matters, managing the President's calendar, organizing travel, and supporting business conferences and events within the biotech, pharmaceutical, and life science industries.
Key Responsibilities
- Handle confidential matters and make independent decisions
- Coordinate conference logistics and manage registration
- Schedule travel, meetings, and maintain calendars
- Prepare expense reports and administrative tasks including mail sorting, supplying office needs, and scanning documents
- Assist with company events and provide backup support as needed
Qualifications
Bachelor’s degree or equivalent level of education and a minimum of 10+ years of executive administrative experience is required, with 5 years focused on support within biotech, pharmaceutical, or life science sectors. Demonstrated expertise in business development and investor relations support is essential, along with advanced proficiency in Microsoft Word, PowerPoint, SharePoint, and Excel.
Additional Information
Although the position is virtual, candidates based in San Diego, CA are preferred. The role requires occasional travel (approximately 10%), and flexibility with work hours is beneficial. Routine office and home office tasks are part of the job, with physical requirements including occasional lifting, extended computer use, and meeting vision and noise condition standards.
