About the Purchasing Officer Role at Alfabs

Due to continued growth across our Engineering and project operations, we are seeking an organised and detail-focused Purchasing Officer to join our team. This is a key role within the business, perfect for someone who enjoys structure, process, and accountability.

As our Purchasing Officer, you will support construction projects through effective purchasing administration, raising purchase orders, tracking procurement activity, and coordinating supplier follow-ups. A critical part of this role is acting as the process gatekeeper, ensuring purchase orders and supplier engagements follow company procedures, approval pathways, and delegated authority requirements before commitments are made. You will work closely with Project and Workshop teams, supervisors, suppliers, and the finance team to ensure procurement is accurate, well-documented, and completed efficiently.
What We Need From You
- Raise and manage purchase orders (POs) in line with company processes and systems.
- Ensure purchasing requests meet approval workflows and Delegated Authority (DOA) requirements prior to issuing POs.
- Act as the gatekeeper for procurement compliance, approvals, and documentation.
- Track open purchase orders and follow up suppliers to ensure on-time delivery.
- Receipt purchase orders and manage delivery dockets and documentation control.
- Maintain accurate purchasing records, registers, and supplier data.
- Assist with invoice matching and support Accounts Payable.
- Request and manage supplier credit notes where required.
- Support reporting, data tracking, and continuous improvement across procurement processes.
- Provide general administration support to the procurement and project teams.
About You
To succeed as a Purchasing Officer, you will be highly organised, process-driven, and confident managing high volumes of purchasing activity while ensuring compliance. You will ideally have:
- Experience in a purchasing, procurement, or construction administration role.
- Strong understanding of approvals, compliance, and process control (DOA exposure preferred).
- High attention to detail and ability to manage multiple priorities.
- Strong communication skills and confidence liaising with suppliers and internal stakeholders.
- High competency in Microsoft Office (Excel, Outlook, Word).
- Experience using purchasing / ERP systems (highly regarded).
- Exposure to accounts payable support or invoice processing (desirable).
