As an Executive Assistant, you will play a pivotal role in supporting our Legal and Regulatory teams.
Key Responsibilities
- Manage the agenda of the VP of Legal & Regulatory including all related logistical information
- Support Legal and Regulatory other Directors as required
- Plan, organize and coordinate meetings, conference/video-conference calls, events and logistics with business partners
- Ensure administrative follow-ups and provide assistance in preparing briefing documents
- Prepare reports and documents, such as PowerPoint Presentations
- Provide administrative support to the VP and Directors
- Organize and prepare the meeting agenda of the team
- Make travel arrangements
- Complete invoice payments and expense accounts
- Coordinate HR transactional issues
- Manage general correspondence
Critical Qualifications
- Strong organizational skills, self motivation and able to handle multiple demands by prioritizing effectively
- Excellent oral and written communication skills
- Effective decision-making abilities
- Good knowledge of Bell organization and relationships around the company
- Demonstrated ability to maintain the strictest confidentiality
- Autonomy
- Keen attention to detail and ability to work autonomously
- Very good knowledge of Microsoft software (Word, Excel, Power Point, Outlook) and Explorer
- Expert knowledge of all internal Bell processes and policies
- Excellent aptitude for interpersonal relations combined with an ability to interact with senior management and other team members in a professional and efficient manner
- Demonstrated ability for team work, working under pressure and respecting deadlines
- Flexibility and willingness to work outside normal working hours when required
- English essential
Preferred Qualifications
- Post-secondary education in a related field
- Experience as an Executive Assistant
- Bilingualism (English and French) is an asset
Additional Requirements
- Support is required regularly outside of normal working hours
- Must be based in Toronto and prepared to work downtown
