Location: Dublin (with travel to group sites)

The Role
We are currently seeking an experienced and highly organised General and Clinical Operations Coordinator to join our team. This is a key role within the Group, supporting both clinical and operational functions across multiple nursing homes, ensuring that processes, compliance requirements, and day-to-day operational activities are effectively coordinated and delivered. The successful candidate will play a central role in maintaining operational oversight, supporting regulatory compliance, and ensuring effective coordination across sites.
Key Responsibilities
Incident & Accident Management
- Maintain a centralised log of incidents and accidents across all homes.
- Coordinate timely reporting to insurers and ensure all documentation is accurate and complete.
- Follow up with sites to ensure investigations and corrective actions are completed.
Compliance & Regulatory Tracking
- Monitor and track action plans arising from HIQA, HSA, and EHO inspections.
- Ensure all actions are completed within agreed timeframes.
- Maintain accurate and audit-ready documentation.
- Liaise with site management to support compliance requirements.
Facilities & Contractor Coordination
- Coordinate maintenance and facilities activities across all sites.
- Obtain and manage supplier and contractor quotations.
- Track works from initiation through to completion.
- Follow up to ensure timely delivery and quality standards.
Supplier & SLA Management
- Maintain oversight of supplier and contractor service agreements.
- Track performance against SLAs.
- Coordinate contractor schedules and site visits.
- Ensure visibility across the Operations Team.
CAPEX & Operational Support
- Support preparation and tracking of capital expenditure projects.
- Maintain records of spend against approved budgets.
- Assist with operational initiatives and cross-site coordination.
Reporting & Data Management
- Assist in preparing operational and clinical reports.
- Maintain accurate data relating to incidents, compliance, and facilities.
- Support management reporting and dashboards.
Occupancy Tracking
- Collate daily occupancy data from Directors of Nursing.
- Maintain accurate group occupancy reports.
- Support operational decision-making through timely data.
General Operational Support
- Provide administrative and coordination support across clinical and operational teams.
- Support meetings, documentation, and action tracking.
- Ensure consistency and organisation across processes.
Candidate Profile
Essential
- Minimum 3 years' experience in an operations, coordination, or administrative role.
- Experience within healthcare, nursing home or home care, or a regulated environment is highly desirable.
- Strong organisational and time management skills.
- Excellent attention to detail and ability to manage multiple priorities.
- Strong communication and interpersonal skills.
- Proactive approach with the ability to work on own initiative.
Desirable
- Experience working with HIQA standards or regulatory environments.
- Experience in facilities coordination or contractor management.
- Strong Excel and reporting skills.

- Competitive salary (€60,000 - €80,000 DOE).
