The Opportunity: Administrative Assistant / Project Coordinator

The Administrative Assistant / Project Coordinator is crucial for the overall coordination, implementation, execution, control, and completion of project initiatives, ensuring alignment with company strategy. You will be an integral part of the Global Marketing (GM) & Market Access, Health Economics & Policy (MAHEP) leadership teams. While the preferred location for this role is on-site in Brea, CA, we are open to considering U.S.A. remote candidates with the right combination of skills and experience.

Key Responsibilities

  • Support a variety of Global Marketing and MAHEP activities for internal stakeholders.
  • Coordinate and manage essential functions including Accounts Payable, Travel, Legal, and Procurement.
  • Lead end-to-end internal projects, meticulously maintaining reports and KPI metrics to track progress and success.
  • Oversee multiple internal communication channels, ensuring seamless information flow across email, video, and audio platforms.
  • Develop and communicate strategic content in close partnership with subject matter experts, translating complex information into clear messages.

Essential Requirements

  • University or college degree, with a preference for a background in communications.
  • Minimum of 7 years’ relevant experience, demonstrating a strong track record in administrative and project coordination roles.

Desired Qualifications

  • Strong organizational skills, capable of managing multiple tasks and priorities effectively.
  • Proven problem-solving skills, with the ability to navigate challenges and find efficient solutions.
  • Proficiency in Microsoft 365 (Office) applications, including Word, Excel, Outlook, and Teams.
  • Previous experience coordinating with off-site staff for events and meetings, demonstrating excellent logistical capabilities.
  • Experience with corporate travel and understanding international travel requirements.
  • Advanced knowledge of MS PowerPoint, enabling the creation of impactful presentations.
