About The Role: Administration Coordinator
BDO Australia is seeking an experienced Administration Coordinator to join a newly formed Centralised Audit Administration & Operations Team in Sydney. This role is pivotal in delivering scalable, consistent, high-quality administrative and operational support across all Sydney Audit sectors.
The ideal candidate will strengthen controls, streamline processes, and ensure efficient delivery of operational tasks supporting engagement lifecycle, compliance, billing, and reporting. This position requires an inquisitive nature and a continuous drive for process improvement.
Main Responsibilities Include
- Engagement Administration & Compliance: Managing client onboarding, performing conflicts checks, ASIC searches, and client acceptance workflows. This includes preparing engagement letters and maintaining corporate records.
- Operational Support & Controls: Processing budget entry, billing & invoicing (including write-offs), performing bank reconciliation, monitoring key controls, and supporting additional operational functions (e.g., ASIC forms, breach reports).
- Workflow Delivery: Managing a shared mailbox for timely and accurate task execution, ensuring service continuity through coordinated team coverage.
- Reporting & Data Management: Producing routine and ad-hoc operational reports, supporting data integrity across BDO systems, and monitoring operational metrics.
- Continuous Improvement & SME Development: Building subject-matter expertise, participating in process standardisation, workflow optimisation, and system improvements.
- Document & Other Support: Preparing audit documentation, reports, and partner-signature items; printing, scanning, and general administrative tasks.
About You
This role requires collaborative work with other Coordinators, EAs/PAs, and Shared Services to refine handoffs and eliminate duplication. We are looking for someone with:
