About The Role
As a Team Assistant, Production at BBC, you will provide comprehensive administrative and EA support to senior management of BBC Studios Productions Australia (BBCSPA), alongside general support to the wider core BBCSPA team, including development. This permanent, full-time role is based in North Sydney and requires candidates with Australian full working rights. You will be responsible for a broad range of administrative tasks, demonstrating flexibility with occasional evening emails and meetings, and handling queries, maintaining records, acting as a first point of contact, and coordinating projects and activities.

Key Responsibilities & Accountabilities
Duties for Executive Team:
- Diary management for the General Manager, Creative Director, Director of Commercial and Business Operations, and Head of Unscripted.
- Assisting in daily administrative, organizational, and general support as required.
- Organizing internal and external meetings, including room bookings, routine team WIPs, and screenings. This involves managing agendas, setup, guest meet & greet, catering, and coffees.
- Booking and running administrative support for evening board meetings, including agendas and minutes.
- Ensuring key production, TX, and visitor dates are accurately entered into Executive diaries.
- Managing financial reporting deadlines for the Director of Commercial and Business Operations, liaising with the Finance team.
- Handling domestic and international travel bookings.
- Processing expense claims and credit card reconciliations.
- Finalizing presentation decks, copying, printing, and general preparation for meetings and pitches.
- Assisting in internal and external event or function planning.
- Setting up and maintaining filing systems for administrative efficiency to support the Executives.
- Disseminating key information to teams across respective business units as required.
- Docusign coordination.
- Assisting in daily administration, couriers, organizational, and general support.
- Ad hoc food orders, coffee, and lunch runs, and tea making.
- Ensuring management is aware of any external VIP clients and Network executives attending.
Production And Development Support:
- Ad hoc Development, casting & production research, including creating and updating decks where required.
- Supporting the setup and administration of writer’s rooms.
- Supporting the production and development team with ad hoc expenses and travel arrangements.
- Providing finance support, including raising Purchase Orders.
- Attending shoots as required to support the team.
- Coordinating team meetings, taking minutes, and managing action points as required.
- Liaising with and sourcing schedules, key dates, including TX for diaries.
- Supporting production and liaising with the UK for International deliverables as required.
- Managing centralized filing of production contact lists, schedules, and other production information.
- Managing production storage.
- Providing general office administrative support, including organizing couriers.
Knowledge, Skills And Experience
The ideal candidate will possess professionalism, excellent time management skills, and the ability to effectively deal with all internal and external clients. You should be adept at prioritizing workloads, well-organized, and an excellent communicator both verbally and in writing. Advanced computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook), are essential. We are looking for an enthusiastic team member with a 'can-do' attitude, who can work in a fun, dynamic environment and demonstrate initiative. A passion for over-delivering in your role and contributing to a creative company that organizes and services each production and commercial output is key. Prior administrative support experience with a variety of tasks is important, and a background in media or media companies would be advantageous.
