Administration Officer (Governance) - Bayside Council

Bayside Council is seeking a friendly and team-oriented Administration Officer (Governance) for a permanent full-time position. About The Role

The Council’s Governance & Risk team plays an active role in organizational governance and transparency. This role will provide high-level administrative support, including governance-related activities across Council to facilitate good practice in ethics, values, and the decision-making process. You will be responsible for supporting the administration, maintenance, and communication of robust governance frameworks and supporting policies, systems, procedures, and processes in line with legislative compliance.

Key Responsibilities:

  • Support the provision of accurate advice, support, and information to Council business units regarding governance-related functions to promote consistent decision-making.
  • Assist to implement and maintain governance systems and projects to enable legislative compliance and business improvements.
  • Provide support to maintain Council’s policy and procedure framework to maintain a current single source of truth for all Council’s policies and procedures.
  • Update and maintain relevant record management systems and governance, delegations, and reporting registers and systems to meet statutory reporting and policy requirements.
  • Collate relevant information and statistics regarding Council performance against governance responsibilities to enable organizational direction, strategy, and decision-making.
  • Maintain various registers, including other employment registers and notice of motion registers.
  • Assist to coordinate staff training arrangements to raise awareness of individual and Council responsibilities regarding ethical behavioral standards and governance frameworks.
  • Promote the positive and collaborative culture and values of the organization through open, fair, and transparent decision-making and ethical, professional behavior.
  • Work in collaboration with and assist the team, manager, and other key stakeholders to achieve business unit goals, work requests, demands, and Council priorities.

About You

The successful applicant will be experienced in administration, customer service, negotiation, and complaint handling. You will have a high attention to detail, be computer literate, adaptable to changing priorities, and possess research and analytical skills, including a demonstrated ability to apply legislation. Strong time management skills are essential.

Candidate Profile:

  • Relevant qualifications and/or equivalent experience.
  • Availability to attend meetings (outside of business hours) as required.
  • Skills in time management, prioritization, and flexibility in managing priorities.
  • Interpersonal skills to build internal and external relationships.
  • Listening, verbal, and written communication skills.
  • Proficiency with information technology systems and applications.

A proven track record in governance or a related field, ideally within a public sector or council environment, will be highly regarded. Training is available for candidates who can demonstrate transferable skills to excel in this position.

Salary Range

$70,599 to $79,071 + superannuation.
