Legal Electronic Billing and Appeals Specialist
Baker, Donelson, Bearman, Caldwell, & Berkowitz PC is seeking a dedicated Legal Electronic Billing and Appeals Specialist. This role offers the flexibility of being based at any of the Firm's office locations. We are looking for a highly organized and detail-oriented individual to join our team. This position is pivotal in our firm's billing and collections processes, involving diligent monitoring of electronic billing platforms, proactive identification of invoice reductions, and expert preparation of appeals to ensure timely and accurate revenue capture. The Legal Electronic Billing and Appeals Specialist reports directly to the Electronic Billing Manager and also to the Director of Revenue Services. The role operates under close supervision and requires extensive collaboration across various departments including Accounting, Finance, Client Accounts, Administration, with Attorneys, and Legal Secretaries.
The ideal candidate will possess experience with Microsoft Office programs, BillBlast (eBilling software), and Aderant or other legal accounting software. While a minimum of 2 years of law firm billing experience is preferred, we are committed to training the right candidate who demonstrates potential and dedication.
Responsibilities
- Collaborate with firm personnel to ensure the accurate establishment of new clients and matters within required eBilling platforms.
- Serve as a primary liaison between client billing contacts and attorney teams to uphold compliance with electronic billing requirements and guidelines.
- Manage the entire electronic invoice submission lifecycle, from initial upload through payment, diligently tracking exclusions, appeals, deadlines, and related activities.
- Work in conjunction with other Electronic Billing Specialists to investigate and resolve invoice reductions, addressing issues related to rates, write-offs, task codes, or specific client rules.
- Monitor BillBlast, email communications, and client billing portals to identify invoices that necessitate appeals, corrections, or supplemental documentation.
- Directly collaborate with attorneys, paralegals, and secretaries to gather essential backup and information required for billing appeals.
- Accurately identify root causes of invoice reductions or rejections, correct discrepancies, and submit formal appeals through the appropriate eBilling platforms.
- Perform additional duties and special projects as assigned by the Electronic Billing Manager and Director of Revenue Services.
Qualifications Required
- Proficiency in Microsoft Office (Word, Excel) and Windows operating systems.
- Demonstrated experience with electronic billing platforms.
- Strong organizational, communication, and mathematical skills.
- Exceptional attention to detail and a high degree of accuracy.
- Ability to work effectively in a dynamic, fast-paced environment with multiple competing priorities.
- Willingness and ability to work occasional overtime to meet critical billing deadlines.
Preferred Qualifications
- Experience with BillBlast, Aderant, or other legal accounting/eBilling systems.
- At least two years of experience in legal billing, electronic billing, or appeals.
- Ability to interpret and accurately apply complex client billing guidelines.
Work Environment & Schedule
This role involves daily interaction with the Director of Revenue Services, Accounting, Finance, Client Accounts, Administration, Attorneys, and Legal Secretaries. The successful candidate must be adept at balancing multiple priorities, consistently managing deadlines, and adapting quickly to shifting demands.
