Part-Time Office Administrator
Aptive Environmental is seeking a hard-working, innovative, detail-oriented, and creative team player to join our Aptive team as a Part-Time Office Administrator in Philadelphia, Pennsylvania. This role is crucial for customer retention and service efficiency, involving communication management, concern resolution, and accurate record-keeping. The position is in-office only, with a work schedule of 20-25 hours per week.
Responsibilities Include
- Partner with customers via phone, email, text, and chat to address needs quickly and effectively, ensuring strong relationships through responsive and empathetic service.
- Educate customers on service expectations, appointment details, and product offerings.
- Proactively support customer retention by driving CSAT and NPS improvements through effective service recovery, ongoing engagement, and identifying opportunities to strengthen and expand client relationships.
- Collaborate across departments (technicians, RPS, office staff) to coordinate and monitor scheduling, ensuring seamless service execution and optimal customer outcomes.
- Participate in the local inventory process, including tracking deliveries and maintaining records.
- Process refunds, adjustments, and billing corrections according to standard procedures, working closely with customers to resolve payment issues and clarify billing inquiries.
- Assist with general office tasks and ensure compliance with service center protocols.
- Monitor customer accounts for outstanding balances and assist with collection efforts.
- Perform other related duties as needed.
Qualifications
- High school diploma or equivalent.
- Accounts receivable experience preferred.
- Experience with CRM or customer service platforms (e.g., Zendesk) preferred.
Requirements
- At least 1–2 years of customer service or administrative support experience.
- Strong verbal and written communication skills.
- Ability to multitask and manage time effectively in a fast-paced environment with accuracy and efficiency.
