Job Description
The Receptionist / Administrative Assistant maintains a professional and consistent presence at the front desk during business hours, serving as the first point of contact for clients, visitors, and callers. This role is responsible for ensuring a polished, responsive, and discreet experience in all interactions.
Key Responsibilities:
- Managing incoming calls.
- Coordinating conference room scheduling, preparing rooms, and coordinating refreshments.
- Entering guests into building security systems.
- Liaising with building management for maintenance requests and access credentials.
- Overseeing incoming packages and mail, including logging and distribution.
- Providing administrative support to the firm’s administrative team, including scheduling, coordinating internal meetings and events, onboarding logistics, and maintaining contact information.
- Assisting with time entry and expense coordination.
- Supporting day-to-day office operations, including monitoring shared spaces, supplies, and vendor coordination.
Qualifications:
- College degree preferred or equivalent professional experience.
- Minimum of 2–4 years of experience in a receptionist, administrative assistant, or similar role, preferably within a law firm or professional services environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and scheduling/communication tools.
- Strong organizational skills with the ability to manage multiple responsibilities and competing priorities.
- Excellent oral and written communication skills, with a polished and professional demeanor.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Detail-oriented with a high level of accuracy and follow-through.
- Ability to work collaboratively across departments and provide administrative support to multiple stakeholders.
