Client Service Representative - Calusa Crossing Animal Hospital
Calusa Crossing Animal Hospital is seeking a compassionate, customer-focused Client Service Representative (CSR) to join our team. As the first and last point of contact for our clients, you will play a key role in creating an exceptional experience for pets and their families while supporting our veterinarians and medical team.
Schedule
Part-Time Position
Every other Saturday is required
Additional weekday shifts based on hospital needs
Job Summary
The Client Service Representative is responsible for managing client communications, scheduling appointments, maintaining accurate patient records, processing payments, and ensuring a positive client experience from check-in to check-out.
Key Responsibilities
Client Communication & Scheduling
- Answer incoming calls and emails professionally and efficiently
- Schedule appointments and assist with forward booking
- Send appointment reminders and follow-up communications
- Contact clients regarding overdue services and wellness care
Client Service
- Greet clients and patients in a friendly, welcoming manner
- Gather and document patient information accurately
- Provide exceptional customer service and maintain professionalism during difficult situations
- Educate clients on hospital services, wellness plans, and preventive care recommendations
Administrative Duties
- Maintain accurate client and patient records
- Process payments, financing applications, and pet insurance claims
- Prepare estimates and review invoices with clients
- Support daily front desk operations and maintain an organized reception area
Team Support
- Communicate effectively with doctors and veterinary staff
- Provide discharge instructions and schedule follow-up appointments
- Assist with additional administrative duties as assigned
Qualifications
- High school diploma or equivalent required
- Previous customer service experience preferred
- Veterinary or healthcare experience preferred
- Strong communication, interpersonal, and organizational skills
- Ability to multitask and remain efficient in a fast-paced environment
- Comfortable using computer software, scheduling systems, and other technology platforms
- Ability to work collaboratively with clients, doctors, and team members
- Commitment to providing exceptional client service and patient care
Physical Requirements
- Ability to stand for extended periods
- Ability to lift up to 40 pounds independently
- Ability to work in a fast-paced veterinary environment
