About US Consumer Services
The U.S. Consumer Services Team is responsible for our suite of consumer products, services, and experiences in the U.S., including our premium, cobrand, cash back, and lending portfolios, Membership Rewards, Global Travel & Lifestyle Services, the Centurion Lounge network, our Global Dining and Resy businesses, U.S. Consumer Banking, and best-in-class marketing programs across customer, prospect, and partner channels. The Executive Assistant, US Consumer Services Governance & Control is a critical member of U.S. Consumer Services Control Management team who provides organizational support, ensures the team’s logistical needs are met, and helps to promote a positive atmosphere and work culture. The successful candidate will be responsible for day-to-day administrative support for two to three vice presidents (VPs) including calendar, travel, and expense management. In addition, they will support each VP’s teams on personnel-related tasks including onboarding and offboarding of colleagues, supply management, and other ad-hoc projects such as colleague engagement.
Key Responsibilities
- Responsible for calendar management on a daily, weekly and monthly basis for multiple VPs
- Manage meeting logistics (in-person and Webex)
- Manage general follow-ups to effectively meet deadlines and commitments
- Work closely with the other administrative assistants on office operations
- Maintain headcount reporting, organizational charts, and department distribution lists
- Organize internal and external business meetings, making all necessary arrangements including sending invites, reserving rooms, Webex setup, and arranging catering
- Ensure timely preparation and processing of expense reports
- Manage travel arrangements, as needed
- Other ad hoc administrative work, as needed
Minimum Qualifications
- Ideal candidate will have previous experience as an Executive Assistant
- Excellent calendar management skills
- Ability to quickly adapt and be flexible in a dynamic workplace
- Ability to effectively deal with a broad range of contacts and personalities – internal and external
- Strong sense of integrity with ability to handle confidential and sensitive information with discretion
- Exceptional organizational, administrative and interpersonal skills
- Ability to prioritize multiple tasks with minimal guidance, solution-oriented
- Strong written and verbal communication skills
- Extremely thorough with a high level of attention to detail and quality; timely follow up
- Proven team player with ability to collaborate across groups and influence others
- Experience in providing support remotely to a geographically disbursed team
- Positive, can-do attitude
