Job Description
Executive Assistant II
Amadeus is seeking an organized and proactive Executive Assistant II to support a key executive. This role requires a high level of professionalism, discretion, and the ability to manage a wide range of administrative and support tasks efficiently.
Common Accountabilities
- Possesses the required technical/functional knowledge and experience in their discipline.
- Understands the Amadeus business and its relation to their area.
- Works using existing procedures or guidelines and provides input to support/influence area decisions.
- Makes recommendations for new solutions and proposes improvements by analyzing various information sources.
- Works with a moderate level of guidance and direction from their manager.
Specific Accountabilities
- Manage the executive's agenda, ensuring their availability and timely handling of all pertinent issues.
- Greet, escort visitors, guests, high-level contacts, and newcomers.
- Receive, screen, and direct incoming calls, mail, and emails.
- Prepare correspondence, reports, presentations, agendas, minutes, and status reports.
- Compile and maintain data, including confidential information, for reports and filing.
- Coordinate meeting arrangements and track expenses.
- Arrange business travel and follow up on arrangements.
- Approve standard demands/requests within delegated authorities.
- Maintain project and administrative files.
- Ensure the office setup is appropriate and office equipment is properly configured, installed, and maintained.
- Maintain necessary office supplies for the supported supervisor/group.
- Handle specific projects related to the executive's activities.
