About The Job

The AI and Automation Manager role at Alma is pivotal in driving the adoption and ensuring the quality of AI and automation tools across the organization. You will act as both a cheerleader, encouraging teams to experiment and maximize tool impact, and a gatekeeper, ensuring solutions meet Alma’s standards for scalability, security, and impact. This role reports to the VP Operations, the executive sponsor for AI and automation internally, and works transversally across all teams.

Scope and Responsibilities:

Accelerate the adoption of AI and automation solutions
  • Champion the use of AI Agents and automation tools and workflows across teams: partner with teams to identify high-impact use cases, remove barriers to adoption and run rapid experiments with measurable impact;
  • Build a community to foster knowledge-sharing (e.g., workshops, office hours), creativity and experimentation;
  • Benchmark & share best practices. Create and disseminate playbooks, templates, and case studies to inspire teams;
  • Design and deliver training programs to upskill employees on AI/automation tools (AI guardrails, responsible usage, and low/no-code automation practices) alongside Learning & Development as well as Security.
Ensure quality & operational rigor
  • Curate and maintain a repository of approved transversal tools and integrations; Work with Security to evaluate external integration needs;
  • Define standards for documentation, maintenance, alerting and quality monitoring of AI assistants and workflows;
  • Be an admin for AI agents, effectively managing data, workspace and plugging new integrations according to teams’ requirements;
  • Provide CEO Office with effective feedback and good practices to maximise the impact and usage of Alma’s knowledge base via AI assistants;
Measure impact and derive actionable recommendations for the leadership
  • Be accountable for the operating cadence and speed of deployment at Alma, iterating closely with the program’s sponsor and COO;
  • Track KPIs (e.g., adoption rates, time saved, error reduction…) to try and quantify the value of AI/automation at Alma;
  • Evaluate and recommend new tools/vendors to fill gaps in Alma’s AI/automation stack;
  • Manage relationships with external partners;

About You

Ideal Profile:
  • Fluent in both French and English
  • 3-5 years in operations, process improvement or AI/automation roles in tech / scale-ups;
  • Hands-on experience with AI (e.g., Dust…) and workflow automation (e.g. Zapier), delivering measurable impact in production. Product management methodology a strong plus to engage colleagues in experimentation mindset;
  • Strong communicator; able to influence without authority and to engage and interact with a variety of colleagues;
  • Detail-oriented, and analytical; Comfortable balancing innovation with risk management;
  • This is a very hands-on /builder/coach role working transversally at Alma. This role is about supporting local teams testing, building and maintaining their automation workflows (with or without AI).
