Overview

The Finance Assistant Manager assists in overseeing the Finance Division of the Clerk’s Office under the direction of the Finance Manager. This role ensures compliance with financial standards established by the Indiana State Board of Accounts and federal regulations.

Essential Functions

Financial Oversight and Transaction Management:

  • Monitor, audit, and process financial transactions including deposits, judgment payments, counter collections, bond payments, court costs, and child support payments.
  • Verify pending disbursement reports for civil, criminal, and child support payments, resolving issues for accuracy.
  • Perform check disbursement duties including issuance of attorney, judgment, child support, and refund checks.
  • Research and resolve financial posting errors and correct them.
  • Utilize computer terminals and relevant software applications for auditing reports and correcting errors.

Staff Supervision and Support:

  • Assist with verifying payroll information and maintaining staffing calendars.
  • Participate in evaluating staff performance and ongoing training on computer-based programs.

Customer Service and Communication:

  • Respond to inquiries and troubleshoot issues for courts, banks, attorneys, and the public.
  • Provide counter assistance and manage telephone inquiries, directing callers as needed.
  • Attend meetings and communicate with state and federal agencies and court personnel.

Court Record and Case Management:

  • Make case entries and update chronological case summaries.
  • Collaborate with court personnel, law clerks, and judges to correct errors.
  • Perform additional duties as assigned, including overtime when necessary.

Requirements

A high school diploma or GED with 1+ years of relevant experience is required; an associate’s degree is preferred. A thorough understanding of legal terminology, court operations, and knowledge of court-related finances, including the ability to audit and reconcile accounts daily, is essential. Strong verbal and written communication skills, robust research capabilities, and proficiency in Microsoft Office along with other relevant software are necessary to succeed in this role.
