Summary
The Administrative Assistant is an entry-level position at AGAT Laboratories, serving crucial administrative functions across various departments and divisions. This role, based at our Calgary location, provides essential support to the Management, Marketing, and Business Development teams, along with other general administrative duties. What You Will Be Doing
- Strive to employ AGAT’s mission statement of “Service Beyond Analysis” by providing assistance to the Management and Sales teams.
- Handle periodic travel bookings as required.
- Manage ordering, invoicing, and mail collection.
- Conduct vendor follow-up and purchase order creation, sending reports and invoices.
- Update Hubspot entries and create ad hoc reports.
- Prepare meeting and presentation materials.
- Relieve Management of administrative functions such as planning and setting up for office meetings.
- Perform other general office administrative tasks as required.
What You Bring To The Table
- Minimum 2 years of customer service and administrative experience.
- Confident computer skills, particularly with Outlook, Microsoft Office, and Excel.
- Experience with Hubspot or similar CRM's is a definite asset.
- Excellent communication skills with clients and team members, both verbal and written.
- Excellent planning, organization, decision-making, and time management skills.
- Strong attention to detail for routine tasks and a commitment to quality standards.
- Ability to work well under pressure and handle multiple tasks within a fast-paced environment.
- Exhibit patience and expertise in building customer rapport.
- Position may entail exposure to confidential and sensitive information; strict confidentiality is required.
Work Environment
This position requires sitting for prolonged periods of time. Manual dexterity is required. The environment is generally an office setting with some exposure to a laboratory environment, requiring compliance with established safety procedures and appropriate PPE. Expect repetitious work with noticeable pressure for deadlines.
