Executive Assistant to CEO
AG&E Associates is expanding rapidly, and we are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our CEO.
This is an exciting opportunity to become a trusted partner to the Chief Executive Officer, providing high-level administrative support, strategic enablement, enterprise-level operations, coordination and leadership support within a leading engineering firm. This role acts as an extension of the CEO – ensuring priorities are coordinated, communications are aligned, and execution is seamless across internal and external stakeholders.

What You Will Do
- Manage complex, high-priority calendars, schedule meetings, and resolve conflicts.
- Act as the primary point of contact, screening calls, managing emails, and drafting correspondence.
- Organize detailed, multi-city domestic and international travel, including flights, hotels, and transportation.
- Coordinate and organize stakeholder meetings, taking minutes, creating agendas, and preparing presentations and reports.
- Maintain strict discretion with sensitive company, financial, and personnel information.
- Act as a strategic barometer for the CEO by maintaining awareness of organizational priorities, risks, and sensitivities, ensuring the CEO remains informed of key commitments, decisions, and follow-ups.
- Maintain strong awareness of organizational dynamics, risks, and opportunities to anticipate needs and proactively address issues.
- Serve as a trusted gatekeeper and connective bridge for the CEO, facilitating seamless communication while maintaining credibility, trust, and executive presence.
- Demonstrate AG&E’s core values and sound judgment with internal or external contacts and stakeholders.
What You Bring
- 5+ years of progressive executive administrative experience or senior executive support experience, with significant time supporting C-suite or CEO level leaders.
- Four-year college degree or equivalent experience require (Business Administration, Communications, or a related field preferred).
- Experience with calendar management and travel booking platforms.
- Excellent interpersonal and verbal/written communication skills.
- Strong commitment to detail with excellent organization and prioritization skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Office 365, etc.)
- Excellent leadership, time management, and resourceful problem-solving skills.
- Strong attention to detail with the ability to identify issues early and deliver under tight deadlines.
- High level of discretion and professionalism in handling confidential information.
