Job Overview Summary

The Senior Contracts Specialist is primarily responsible for working with colleagues within the Contracts Group (CG), Commercial organization, Finance and Subject Matter Experts throughout Advarra. The Sr Contracts Specialist will work with CG colleagues in order to deliver a quality review of client/vendor contractual documents for Advarra’s various service lines. They ensure timely turnaround of tasks assigned to them, including but not limited to the review of client/supplier and internal requests and coordination with internal subject matter experts. They will also assist the CG team with the day-to-day tasks of tracking contract requests, finalizing contract documents, and ongoing process and systems enhancements.

Job Duties & Responsibilities

  • Works independently with minimal supervision in an extremely fast-paced environment within the CG and with relevant stakeholders to transition projects from opportunity to contract stage, including initial drafting and/or reviewing of contracts, including but not limited to Non-Disclosure Agreements, Amendment Agreements, Statement of Work, etc.
  • Manages the incoming requests to CG, triages them and either works on them or ensures they are assigned appropriately to a CG representative
  • Manages tasks assigned via Salesforce to build client facing documents
  • Collaborates with various SMEs to ensure a timely delivery of CG documents
  • Escalates contracting concerns appropriately
  • Works cross-functionally throughout Advarra to ensure contract obligations are communicated and managed
  • Maintains reporting for and takes action on contracts regarding expirations and works with internal teams to determine renewal status
  • Ensures files, draft documents, and final documents are properly stored within the department systems
  • Conducts a quality control of documents
  • Tracks contract data in the appropriate systems
  • Utilizes proper signature authority based on company policies and routes documents for signature
  • Participates in team meetings and aids in development or modification of tools and procedures
  • Serves as a backup to members of the CG team and supports Legal function as required
  • Raises ongoing process improvement suggestions and opportunities
  • Other projects and duties as assigned

Basic Qualifications

  • Associates or Bachelor’s Degree in English, Life Sciences, Business or similar area of expertise or equivalent work experience
  • 5+ years contract management experience with experience within the clinical research industry considered an asset

Preferred Qualifications

  • Paralegal certification or experience in a Legal Department preferred
  • Ability to establish and maintain effective work relationships with internal and external clients with a high degree of professionalism and excellent interpersonal/communication skills
  • Proficiency in Microsoft Office and general computer familiarity and navigation skills. Salesforce software experience preferred.
  • Strong organization and multi-tasking skills
  • Ability to work independently; planning, organizing, scheduling and completing work within tight deadlines
  • Great attention to detail is a must

Compensation

The base salary range for this role is $71,955 - $98,532. Note that salary may vary based on location, skills, and experience and may vary from the amounts listed above. This position may also be eligible for a variable bonus in addition to base salary as well as health coverage, paid holidays, and other benefits.
