Administrative Assistant at Addison Group

Addison Group is seeking an Administrative Assistant on behalf of a client within the property management industry. This vital role provides comprehensive day-to-day administrative and office support for a corporate property management team. The ideal candidate will bring prior experience in property management, proficiency with Yardi software, and strong capabilities in reporting and data tasks using Microsoft Excel.

Key Responsibilities

  • Manage incoming phone calls, emails, and general office communications efficiently.
  • Welcome visitors and provide professional front-desk support as needed.
  • Enter data accurately and maintain organized electronic and paper files.
  • Scan, copy, and distribute documents to relevant parties.
  • Coordinate calendars, meetings, and appointments for the team.
  • Create and update basic reports, correspondence, and spreadsheets.
  • Order office supplies and meticulously track inventory levels.
  • Handle all incoming and outgoing mail effectively.
  • Place lunch orders and assist with general office coordination.
  • Follow up with vendors and individual properties to ensure timely responses.
  • Provide general administrative assistance to team members as assigned.

Qualifications

  • Previous experience in the property management industry is essential.
  • Hands-on experience using Yardi software.
  • Proficiency with Microsoft Excel for data and reporting.
  • Prior administrative or office support experience in a corporate environment.
  • Strong phone etiquette and excellent written communication skills.
  • Comfortable with data entry, document management, and general office tasks.
