Role Overview
The Administrative Assistant & Receptionist supports the Chicago office, ensuring day-to-day operational continuity. This role focuses on administrative and operational tasks while providing professional front-of-house coverage.
Responsibilities
Administrative & Office Operations:
- Process and track Chicago office invoices and expenses.
- Provide general administrative support including Salesforce record maintenance and data entry.
- Manage the firm’s general email inbox with marketing, audit, and fund-related inquiries.
- Coordinate office swag inventory and manage vendor repairs and facilities issues.
- Assist with administrative tasks during executive absences to ensure continuity.
Reception & Front-of-House:
- Support over 190 Chicago-based employees with front-of-house tasks.
- Manage guest registration, greeting, and on-site logistics for visitors.
- Coordinate incoming deliveries, including couriers and catering.
Candidate Requirements
The ideal candidate is organized, proactive, and has prior experience in an administrative or receptionist role in a professional setting. A Bachelor's degree is preferred, along with strong organizational skills, attention to detail, proficiency with office tools (including email platforms, Salesforce, and expense management tools), and the ability to work on-site 5 days a week.
