Role Summary
ADAMA’s Legal & IP function is embarking on an ambitious transformation journey in partnership with the Syngenta Group Legal Operations team. We are seeking a motivated **Legal Operations Specialist** to provide day-to-day operational, technological, and process support across ADAMA’s global Legal &IP landscape. The successful candidate will support the Legal and IP team in collaboration with the wider Syngenta Group Legal Operations and act as an essential conduit between ADAMA Legal &IP professionals, external counsel, Finance, and Syngenta Group Legal Operations, ensuring best-in-class service delivery.
The role offers unrivalled exposure to experienced in-house lawyers, cutting-edge legal technology, process optimization, and cross-border collaboration.
Key Responsibilities
E-Billing & Vendor Management:
- Drive adoption to Syngenta Group’s e-Billing platform (Brightflag) for all ADAMA Legal &IP suppliers and matters.
- Serve as primary point of contact for external counsel in case of system related questions.
- Support negotiations with vendors, including running RFPs.
- Generate spend analytics to support strategic sourcing decisions and outside counsel performance reviews.
Onit Contract Lifecycle Management (CLM) Adoption
- Support phased rollout and adoption of Onit CLM across all ADAMA regions, including user onboarding, template management, and data migration.
- Prepare and manage standard, low‑risk legal documents using approved templates, including NDAs, PoAs and other routine documentation.
- Maintain up to date end-user training materials and quick reference guides to drive adoption and continuous improvement.
Standardised Corporate Governance And Legal Entity Management Activities
- Maintain legal entity records in the Global Entity Management System (GEMS)
- Coordinate with inhouse- and external counsels on routine corporate governance matters and reports.
Operational Excellence & Continuous Improvement
- Map current-state Legal &IP processes; identify bottlenecks, propose standard operating procedures (SOPs), and implement automation opportunities.
- Track and report on key metrics (cycle time, spend, adoption, compliance) to demonstrate value and support data-driven decision-making.
- Contribute to wider Legal Operations initiatives (AI applications, knowledge management, legal training programs, records retention, legal tech evaluations, risk controls).

- Legal Vendor Management and Legal e-Billing

- Other related tasks on a need basis (i.e. Artificial Intelligence, Data Privacy)
Requirements
- 1–3 years’ experience in a legal operations, paralegal, finance operations, or contract administration role within a multinational corporation, law firm, or ALSP.
- Bachelor’s degree in Business Administration, Finance, Information Systems, Law or related discipline.
- Hands-on exposure to at least one legal technology platform (eBilling, CLM, matter management, or entity management) is preferred.
- Demonstrated track record of supporting process improvement and data-driven reporting.
Technical Skills
- Basic understanding of financial controls, invoice lifecycles, and budget tracking.
- Interest in and understanding of AI applications.
