Job Description
About the Role
This opportunity is for a Program Assistant supporting a research network focused on housing, energy, transportation infrastructure, and land-use decision-making. This entry-level role supports a wide range of program activities, including grant administration, event coordination, member engagement, and day-to-day administrative and financial operations.
What You’ll Do
- Support the Program Director with the overall administration of the program
- Organize and provide logistical support for meetings, conferences, workshops, convenings, and other events held on-site, off-site, and virtually
- Build and maintain schedules, invitations, and calendars for meetings, workshops, convenings, and recurring engagements
- Maintain mailing lists and prepare regular communications for network members
- Help manage the program’s social media and online presence
- Assist with outreach efforts and support ongoing member engagement
- Provide administrative support for daily program operations, including file maintenance, meeting materials, database and spreadsheet updates, and payment request processing
- Support additional projects and responsibilities as assigned, based on program needs and individual capacity
Qualifications
- Bachelor’s degree required; a degree in social sciences, humanities, engineering, or a related field is strongly preferred
- Knowledge of, or strong interest in, issues related to housing, energy, and transportation infrastructure
- Experience with event coordination or event management
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, OneNote, and Outlook
- Proficiency with Google Workspace
- Ability to manage multiple priorities and meet competing deadlines
- Strong organizational skills and close attention to detail
- Excellent written and verbal communication skills
- Ability to work both independently and collaboratively
Preferred Qualifications
- Experience with or familiarity with web content management and database management
- Experience with or familiarity with gathering, organizing, and synthesizing information using AI tools
Work Arrangement
This position is based in New York City, with the option to work from an office or remotely from within the continental United States at the employee’s discretion. Attendance at two mandatory in-person meetings each year is required.
