Operations Assistant (Office + Shop Support)
Kelso Industries is seeking an Operations Assistant to support administrative and operational functions. This role involves office coordination, record maintenance, and assisting with inventory and material management, as well as hands-on shop support. We are looking for a highly organized individual to contribute to overall operational efficiency.
Essential Duties And Responsibilities
Administrative & Office Support
- Perform day-to-day administrative tasks including data entry, filing, and document management.
- Respond to incoming calls and customer requests.
- Maintain organized records related to inventory, orders, and operational processes.
- Assist with scheduling, communications, and coordination between departments.
- Prepare reports, spreadsheets, and internal documentation as needed.
- Support purchasing activities, including creating and tracking purchase orders.
Inventory & Materials Management
- Monitor inventory levels and maintain accurate tracking systems.
- Assist with receiving, labeling, and organizing incoming materials.
- Coordinate with suppliers and vendors regarding orders and deliveries.
- Ensure timely ordering of materials, supplies, and equipment based on operational needs.
- Conduct periodic inventory counts and reconcile discrepancies.
Shop & Operational Support
- Provide support to shop personnel by staging materials and preparing work areas.
- Assist in maintaining cleanliness, organization, and safety within the shop.
- Safely operate equipment such as a forklift to move materials.
- Support workflow efficiency by ensuring materials are readily accessible and properly tracked.
Qualifications
Education & Experience
- High school diploma or equivalent required.
- 1–3 years of experience in an administrative, operations, or warehouse support role preferred.
Skills & Competencies
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to prioritize tasks and manage multiple responsibilities.
- Basic proficiency in Microsoft Office (Excel, Word, Outlook) or similar systems.
