About the role
Project Coordinator
As a Project Coordinator, you will serve as a key operational partner to project teams, helping support the successful execution of architectural and design projects from proposal through project close-out. This role is responsible for maintaining organization across project communication, scheduling, documentation, deliverables, meetings, and coordination efforts while supporting Design Managers and project teams in a fast-paced, collaborative environment. The ideal candidate is proactive, highly organized, detail-oriented, and adaptable, with the ability to manage multiple priorities while maintaining professionalism, initiative, and strong collaboration skills. What You Will Do
- Assist with project setup, organization, and maintenance of electronic project files and documentation
- Assist with preparing meeting notes, action item tracking, and follow-up communications
- Help maintain project schedules, milestone tracking, and team calendars
- Coordinate internal and external meetings, including scheduling, agendas, room reservations, catering, technology setup, and meeting materials
- Assist with compiling project status reports, staffing updates, and project trackers
- Support management of project documentation, including contracts, proposals, submittals, RFIs, and reports
- Coordinate QA/QC document stamping and final stamping
- Coordinate consultant communications and assist with information distribution
- Identify opportunities to improve workflows, organization, and communication processes
- Support implementation of project standards and operational best practices
- Collaborate positively across studios, disciplines, and support teams
- Maintain professionalism, responsiveness, and strong attention to detail in all interactions
Your Qualifications
- Bachelor’s degree preferred
- 5+ years of coordination, project support, administrative, or operations experience, preferably in architecture, engineering, construction, design, or professional services
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and client service orientation
- Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams
- Strong professional judgement and ability to solve problems effectively
- Highly organized and strong attention to detail
- High level of professionalism, diplomacy, and strong sense of urgency
- Excellent verbal and written business communication skills
- Legal and contract review experience is a plus, but not required
