This role is crucial for maintaining the smooth operation of the service center by effectively handling customer needs, processing essential documentation, and performing various administrative and customer service duties.
Key Responsibilities:
- Perform essential administrative and clerical functions, including file maintenance, copying, imaging, answering phones, data entry, and mail/package distribution.
- Verify and complete all necessary documentation and reports accurately.
- Provide exceptional customer service by offering accurate information, resolving issues, updating systems with special requirements, and identifying opportunities to sell company services or generate leads for the sales team.
- Efficiently enter freight shipment information into the computer system, status shipments, and generate or correct freight bills.
- Administer the freight pick-up process as required.
- Respond to customer inquiries via phone, email, and fax, including shipment tracing, rate quotes, tariff discrepancies, and billing questions.
- Schedule freight delivery appointments and review driver Hours-of-Service logs for accuracy, reporting discrepancies as needed.
- Support city operations by checking in drivers, processing related paperwork, coordinating drop-offs, and managing driver collections.
- Collaborate with sales, operations, and other service centers to ensure customer needs are met and all issues are resolved.
- Reconcile cash and checks, prepare deposits, and manage COD check remittances.
- Adhere to all applicable laws, regulations, company policies, and procedures.
- Perform other duties as assigned.
Qualifications:
- High school diploma or GED required.
- Two years of general office experience preferred.
- One year of customer service experience preferred.
- Previous transportation experience is a plus.
- Strong phone and interpersonal skills.
- Basic math and counting abilities.
- Effective written and verbal communication skills.
- Understanding of FedEx service products is beneficial.
- Proficiency with general office equipment (computer, fax, copier, scanner).
- Typing and data entry skills; ten-key skills preferred.
- PC experience and ability to learn new computer systems.
- Demonstrated time management, organizational, and multi-tasking abilities.
