Managing the physical inflow and outflow of equipment — from receiving and staging to deployment and returns — plays a critical role in ensuring client projects run on time and without error.
Role Overview
We are seeking an IT Asset Coordinator for a rapidly scaling robotics company to own the physical lifecycle of hardware across client deployments and internal operations. This role is responsible for receiving, staging, tracking, shipping, and returning equipment — ensuring that every device is accounted for, properly configured for handoff, and delivered to the right place at the right time.
The IT Asset Coordinator will work closely with project managers, engineers, and procurement to bridge the gap between what's been ordered and what's physically in hand. This role is ideal for someone who is organized, hands-on, and takes pride in keeping operations running cleanly behind the scenes.
Core Responsibilities
THE PERSON IN THIS ROLE WILL BE RESPONSIBLE FOR:
Receiving, inspecting, and logging all inbound hardware shipments against purchase orders and BOMs
Maintaining accurate physical and system-level inventory of all equipment across staging, storage, and deployment
Preparing and staging hardware for hundreds of client deployments, including labeling and documentation
Coordinating outbound shipments and equipment deliveries to client sites or field engineers
Managing RMA processes, warranty returns, and equipment retrieval at end of deployment
Tracking asset status throughout the full lifecycle — from receipt to decommission — within ServiceNow
Coordinating with procurement to flag discrepancies between ordered and received equipment
Working with project managers and engineers to ensure hardware is ready and available ahead of deployment windows
Maintaining a clean, organized staging and storage environment
Identifying operational gaps in asset tracking or logistics workflows and recommending improvements
What We're Looking For
THE IDEAL CANDIDATE WILL HAVE:
2–4 years of experience in technical asset management, logistics coordination, or hardware operations
Hands-on experience receiving, staging, and shipping technology equipment
Strong organizational skills with the ability to manage multiple open shipments and asset records simultaneously
Comfort working in a physical warehouse or staging environment alongside an office or field setting
Attention to detail when matching received equipment against purchase orders, BOMs, and serial number records
Clear communication skills when coordinating with internal teams on hardware readiness and timelines
Nice to Have
WHILE NOT REQUIRED, THE FOLLOWING EXPERIENCE IS HELPFUL:
Experience working in an MSP, IT services, or technology deployment environment
Familiarity with networking hardware such as firewalls, switches, routers, or wireless access points
Experience with ServiceNow
Experience with barcode scanning, asset tagging, or inventory management tools
Exposure to procurement workflows and purchase order processes

Working Conditions
This role is based in the San Francisco Bay Area and requires the ability to work full-time onsite in Mountain View or at nearby client locations. Regular hands-on work with hardware is required, including lifting and moving equipment. Occasional travel to client sites may be needed for delivery or retrieval logistics.
